   - Tips for using FlexMail

Trial Version of FlexMail 3 is asking you to license the program.

When using the "Trial Version" of FlexMail 3, every time you open the program you will be prompted to license the program. If you choose not to license the program at this time, just click on CANCEL. By doing this each time you open the program, you will be able to run the program for 30 days, before the trial version expires. After 30 days, you must purchase a license to continue using the program.


Define "rows to scan" to all.

We have run into cases where the data field length was determined by scanning the first 100 records, but records beyond this point exceeded the determined field width and caused the data within this field to be cut off. In addition, if a field is found to be empty within the “rows to scan” it will not be used (not linked).

To avoid this problem:

  • In FlexMail, under “Tools”, “Options”.
  • Click on the “Datasheet” tab.
  • Set “Default rows to scan:” to zero (0).

Doing so will cause FlexMail to scan the entire data file, and not just the first 100 (default value) records of the file to determine the populated data fields, max length of data fields and types. One negative effect of setting “rows to scan” to zero is; that it will take more time to scan the list, during the linking process. The larger the file, the more time it will take.


Define all fields (Data Types) as “text”

In some cases, during the data linking process, FlexMail will automatically define a field as a type that is not compatible with the features within FlexMail.

For example a zip+4 field may be defined as a “Long integer” field, which will cause an error during the barcode building process.  

To avoid this problem please be sure to set all field “Data Types” as "text", during the Data Linking process.

In addition, don't press the "Guess" button after defining all fields as "text". Doing so will cause the data types to revert back to their original form.  


How to remove the check digit from a 3 digit Delivery Point field.

If the data file contains a DP field with 3 digits, instead of 2 digits, this is actually the DP code plus the check digit. In order for FlexMail to recognize this as valid barcode data, you will need to use the following special sequence, within the Expression Builder, to remove (ignore) the last digit (check digit).

IMPORTANT! There are many factors that can affect the readability of a USPS Postnet barcode. It is the mailers responsibility to verify that the barcodes they are producing will be accepted by the USPS. It is strongly suggested that a small sample of the mailing be produced, tested and accepted by the USPS, before proceeding with printing the entire mailing.  


Printing the Postnet Barcode on the Envelope Imager III

The “zip” barcode choice may not function correctly. Please use the “USPS postnet” or “TT USPS postnet” choices instead.  The “USPS postnet” choice will give you the ability to drag the barcode larger or smaller (change space between bars), and you will also have the ability to change bar width. Make sure the barcodes produced meet postal guidelines.

It is strongly suggested that a small sample of the mailing be produced, tested and accepted by the USPS, before proceeding with printing the entire mailing.


Printing a graphic or indicia using a DA606 or DA607 printer via FlexMail.

  • Please be sure the printer is set to factory defaults (power on holding down the PROG key).
  • Make sure you are using the correct Rena driver.
  • Set FlexMail so it is not downloading the image as a macro.
    If you are trying to download the indicia or graphic as a macro (The text or picture box is highlighted in the “downloads” tab window.), try setting the indicia or graphic (text box or picture box) to print as a graphic. Press Ctrl and left click to un-highlight the object in the “downloads” tab window.

Getting strange characters printed on the mail piece.

If you are getting a sequence of strange characters (Example: +b0e3y010D) printed on your mail piece. It could be caused by an incorrect true type font setting on your pc.

You can change this Windows setting by doing the following:

  • Go to Control Panel
  • Open Fonts
  • Select Folder Options from the menu Tools
  • Select the page TrueType fonts
  • Unselect (un-check) Show only TrueType fonts in the programs on my pc.
  • Click OK

Problems develop after updating the FlexMail program or printer driver.

If you start having problems after updating (using the repair feature) from a new FlexMail 2 CD we suggest uninstalling the FlexMail 2 program and re-installing it using the latest version FlexMail 2 CD.

WARNING: Deleting and reinstalling FlexMail will require a replacement site key. Your old site key information will not work if you reinstall FlexMail. There is a fee for providing a replacement site key. Please contact your Rena Dealer to request a replacement site key. Please provide your Rena Dealer with your FlexMail version, contact information, and the "site code:" displayed in the "License Maintenance Wizard".
Only licensed FlexMail users (user's who have purchased a FlexMail license) are able to obtain a site key or replacement site key.

If you start having problems after updating from FlexMail 2 to FlexMail 3, please check to be sure you are using compatible printer drivers.

  • If you are upgrading from FlexMail 2 to FlexMail 3, you must also update the printer drivers to V4.04 or higher.

  • If you are using FlexMail 2, you must use printer drivers V3.53 or lower.

Printer drivers are located on the FlexMail CD. Driver updates are available from our web site: Driver Information Center.

Note: When upgrading from FlexMail 2 to FlexMail 3, your project files are automatically converted to the FlexMail 3 format. After this conversation, you will not be able to use these project files with FlexMail 2. There is no method to convert FlexMail 3 projects for use in FlexMail 2.


Getting an error message from the ODBC driver when trying to open a database

On some installations, when you try to open a database, you get an error message from the ODBC driver or sometimes nothing happens; FlexMail stops reacting and the only thing you can do is to cancel it through CTRL+ALT+DELETE.

The problem stems from the fact, that often Windows installs ODBC-drivers beforehand and when installing FlexMail, the drivers compatible with FlexMail will not get installed, because Windows thinks they already exist.

To solve the problem you need to delete everything that has something to do with the ODBC drivers and then reinstall FlexMail and all the ODBC drivers that come with it.    


Macros (graphics) only print on the first envelope, via Windows 95/98.

Under Windows 95/98 and some FlexMail installations; macros are not printed correctly. For example: On the first envelope the graphics are printed but nothing else. On the subsequent envelopes everything is printed except for the graphics of the macro.

This problem can be solved by going to the "Details" page, in the printer driver properties, and clicking on a button called "Spooler-Settings". If you select "Print direct to the printer", the spooler will be turned off and the printing of macros will work.
